Use Student Training

In this article, we'll help you use the Student Training features in Flight Schedule Pro.

Use Guide for Student Training

The following tasks allow you to use FlightSchedule Pro to track student training activities:

  1. Enroll a student in a course
  2. Edit PIN (for student or instructor)
  3. Accept Course Documents (for student)
  4. View course overview/info
  5. Find student
  6. Edit, transfer, terminator or delete student enrollment in a course
  7. Edit student previous training credits

Enroll a Student in a Course

Prerequisite: The course setup must be complete, including changing the course status to Ready. Refer to the Student Training Setup guide for more information.

There are two methods for enrolling a student in a course. You can either:

  • Go to the Students window and select Enroll a Student to open the New Enrollment window.
  • Find the student's profile first.

To find the student's profile first:

  1. Select People from the left navigation area.
  2. Locate the student's name on the People window.
  3. Select View next to the student's name to open the person's profile information.
  4. Select Course Enrollments.

  5. Select Enroll to open the New Enrollment window.

To complete the student enrollment:

  1. On the New Enrollment window, select the Student or group to enroll in the course by clicking on the Student field. Select People or Groups, begin typing the student or group's name, and select the name from the matching entries. This field will be pre-populated if you selected Enroll from the student's Course Enrollment's view of their profile window. You can remove a student by clicking the X next to the student's name.

  2. Select the Course from the drop down list. This list includes courses that you have added and are marked as Ready.
  3. In the Primary Instructor field, select the instructor who will have primary responsibility for this student's instruction.
  4. In the Other Instructor(s) field, select any other instructors who will be teaching the selected student. You can start typing the instructor's name and then select the name from the matching entries. If there are additional instructors for this student and course, select the additional instructors. You can remove an instructor by clicking the X next to the instructor's name.
  5. Click on the Date of Enrollment field to select the enrollment date from the calendar.
  6. Click on the Expected Graduation Date field to select the graduation date from the calendar.
  7. Select Save.

When sessions are logged in a course, both the student and the instructor may need to verify the session by entering a personal identification number.

To edit your PIN:

  1. For Students, select My Training from the left navigation area. For Instructors, select Students from the left navigation area.
  2. Select Edit My PIN.


  3. Enter your new 4-digit personal identification number.

  4. Enter the same number again to confirm it.
  5. Select Save.

Note that instructors who are also students must set separate PINs in both places.


Accept Course Documents

Depending on the Enrollment Settings for the selected course, students may need to accept their course documents in order to change the course status from Pending Enrollment to Enrolled.

Note that if you have not yet set your PIN, you will be prompted to enter a PIN before you can accept your course documents.

  1. Select My Training from the left navigation area.
  2. Select View next to the course.
  3. The Accept the Course Documents window opens automatically the first time you view a new course.
  4. The Accept the Course Documents window includes links to the Enrollment Certificate, Syllabus, and Safety Practices and Procedures, as applicable. Select View next to an option to view it. With the document open, select Download at the bottom to download it.
  5. Enter your PIN to digitally sign that you have received the documents.
  6. Select Acknowledge Receipt.

 

View Course Overview/Information

You can locate the Course Overview window for a student's enrollment in a course from different ways, depending on your role within FlightSchedule Pro.

  1. View the student's course enrollment window and select View next to the course.
  2. From My Training on the left navigation area, select View next to the course.

The Course Overview window includes student contact information, a progress summary and details for Training Sessions, Course Progress, Exams, and Documents. You can Log a Session or Schedule a Session for a student from the Course Overview window. You can also view information that includes an overview with related training materials and course minimums for the course.


To view course information, select the Course Info button next to the Course Overview heading. Select the Overview or Course Minimums tab to view the detailed information for the course.


Find Student

The Students window lists students for a specific instructor or an administrator, depending on your role within FlightSchedule Pro. There are several filters available to help you quickly locate a specific student's record. You can apply more than one filter to locate students.

To locate a student:

  1. Select Students from the left navigation area.
  2. To filter the list to students for a specific instructor, start typing the instructor's name in the all instructors field. Check the box(es) next to the instructors whose students you want to find and select Apply.

  3. To filter the list to students enrolled in a specific course, start typing the course name in the all courses field. Check the box(es) next to the courses whose students you want to find and select Apply.

  4. To filter the list to students with a specific status, select the all statuses field. Check the box(es) next to the status whose students you want to find and select Apply.

  5. To filter the list to students by name, start typing the student's name in the all members field. Select the student's name.

  6. Select Clear All if you want to clear the filters and start over.

Edit, Transfer, Terminate or Delete Student Enrollment in a Course

Once a student is enrolled, some users can change the enrollment information, such as the instructors expected graduation date. If no training sessions have been logged, this option also allows you to delete the enrollment. This option also allows you to transfer or terminate a student.

To edit enrollment:

  1. View the student's course enrollment window.
  2. Select the Actions button.

  3. Select Edit Enrollment to open the Edit Enrollment window.
  4. Edit the Instructor(s).
  5. Select a new Enrollment Status from the drop down list.
  6. Enter the Date of Transfer or Date of Termination, depending on the status.
  7. To digitally sign a transfer or termination, enter your PIN.
  8. Select Save. Or to cancel the student's enrollment in the course, select Delete and select OK in the confirmation window.
Note that a Training Record is generated for students who transfer or are terminated. The record is available on the Course Overview Documents tab.

The Edit Enrollment window also allows an instructor to recommend a student for graduation and a chief instructor to graduate a student.

Edit Student Previous Training Credits

The Previous Training Credit window allows you to give a student credit for previous training hours at another school.

To account for previous training credits:

  1. View the student's course enrollment window.
  2. Select the Actions button.
      
  3. Select Edit Previous Training to open the Previous Training Credit window.
  4. Turn the Previous Training option ON.

  5. Enter credit for previous training hours. Enter 0 if no credit should be given for that option.
  6. Select the Course Progress tab. This tab shows the specific stages and lessons for the course.

  7. Check the box(es) next to the lessons for which the student should receive credit from the previous training.
  8. Select Save.

The Course Progress chart on the Course Overview window shows PT to indicate the previous training.


Log or Edit Student Training Sessions

Note: The student must have a status of Enrolled before you can log training sessions.

You can access the Log Session window from the Training Sessions tab of the student's Course Overview page. You can also access the Log Session window from the Reservations page either by selecting Log Session from the Reservation or by selecting Log next to a scheduled training session shown under Training on the Reservation.

To make changes to an existing logged training session, select the Edit button at the bottom of the Training Session window to open the Log Session window. Note that if the Edit button is not available, either the activity type doesn't track training mismatches or if you do not have permission to edit the session.
To log or edit a student training session:

  1. On the Log Session window, select the Course from the drop down list. It may be pre-selected, depending on how you opened the Log Session window.
  2. Enter the session Start Date and Time.
  3. In the Instructor(s) field, select the primary instructor for this session. You can start typing the instructor's name and then select the name from the matching entries.
  4. In the Aircraft field, select the Aircraft.
  5. Select the Lesson from the drop down list. Once the lesson has loaded, the Grade Sheet, the Log Time for this Lesson, and the Review & Sign sections open for the selected lesson.
  6. If the lesson included any additional tasks, you can capture them as well. Select the Add New button at the bottom of the list of tasks for this lesson. In the Add Task window, select the Lesson and Task and select Add to Lesson

  7. In the Grade Sheet section:
    • Select a grade for any completed tasks in this session.
    • Select an option from the Grade this Session drop down list.
    • Select an option from the Lesson Grade & Status drop down list. 
  8. In the Log Time for this Lesson section:
      
    • Select a From Airport from the drop down list.
    • Select a Via Airport if applicable.
    • Select a To Airport from the drop down list.
    • Enter or edit time logged in the various tasks.
  9. In the Review & Sign section:

    • Enter any Instructor Remarks.
    • The student enters his/her PIN. Or you can check the Request PIN from Student box.

    • The instructor enters his/her PIN.

      Note that the session can only be saved as a draft if the student and/or instructor have not entered a PIN.

  10. Select Save or Save as Draft.
  11. To delete the session, select Delete.
If the Training Session time does not match the aircraft and/or instruction time recorded for the actual flight, you will see the Training Mismatch screen, indicating that you should either edit the session or enter a reason describing why the mismatch is being entered.

View Student Training Sessions

Once one or more training sessions have been logged, the Training Sessions tab on the Course Overview window shows an overview of the session (date, instructor, lesson and status).

Select View to view the details.


You can also view training sessions directly from the reservation. Select View next to the logged session in the Reservations window.


The bottom of the Training Session window includes an Edit button, which allows you to make changes to the session if there is a mismatch between the logged session and the reservation.

View Student Course Progress

Select the Course Progress tab on the Course Overview window to view the stages and lessons for a course in a chart.


Select add next to a lesson to log a session. The Log Session window opens with the lesson already pre-selected.

Log Student Exams

Select the Exams Taken tab on the Course Overview window to view exams taken.

To log an exam:

  1. Select Log Exam.
  2. In the Exam Score window, select the Exam from the drop down list.

  3. In the Instructor(s) field, select the primary instructor. You can start typing the instructor's name and then select the name from the matching entries.
  4. Click on the Date Taken field to select the date of the exam from the calendar.
  5. Enter the exam Grade Received.
  6. Select the Result from the drop down list.
  7. Select Save.

You can select Edit next to the exam listed to make changes.

View Student Documents

Select the Documents tab on the Course Overview window to view your documents, including your course enrollment documents (Syllabus, Safety Practices and Procedures, and Enrollment Certificate), and one you have graduated from a course, your graduation certificate.

The Documents tab also includes the student Training Record, for regulation 141.101. Students will have a Training Record even if they do not have an active Graduation Certificate. A Training Record is also available for students who have transferred or terminated.

Select View next to a document to open it for viewing or download.

Schedule Student Training Sessions

Select the Schedule Session button on the Course Overview window to make a new reservation.

Recommend a Student for Graduation

When a student has completed the course requirements, an instructor can recommend a student for graduation to inform the chief instructor, who is the one who will finalize the graduation status.

  1. View the student's course enrollment window.
  2. Select the Actions button.
  3. Select Recommend Graduation to open the Graduation Validation window.

If the student has not yet met the course requirements, you can select the item to expand the details.

To recommend a student for graduation, select Recommended for Graduation. You can also Add a Note by entering note text.

Check one or more boxes to send emails to the instructor(s) or user(s) to notify them of the recommendation for graduation and select Save.

Graduate a Student

When a student has completed the course requirements, the chief instructor (or anyone with permission) can change the student's status to graduated.

  1. View the student's course enrollment window.
  2. Select the Actions button.

  3. Select Edit Enrollment to open the Edit Enrollment window.
  4. Select Graduated as the Enrollment Status.
  5. If you select Graduation Approved, enter the Date of graduation, Add a Note (if desired) and enter your PIN.
  6. If you select Graduation Not Approved, Add a Note (if desired) and select Save.
  7. Check one or more boxes to send emails to the instructor(s) or user(s) to notify them of the graduation status and select Save. It is not necessary to add the student.

Once the student has graduated, the student receives an email notification and the graduation documents are available on the Course Overview Documents tab. The graduation documents include the Training Record and the Graduation Certificate.
