How do I create a maintenance reminder for an aircraft? (v3)

Follow the steps below to create a new maintenance reminder:

Notes: This task requires that you have permission to Edit Maintenance Reminders.

  1. Under Maintenance click Reminders. If you cannot see the Maintenance menu, then you do not have the correct permissions to perform this function.

  2. Select an aircraft from the top drop down box that will be associated with this reminder. The page will update and display all reminders associated with the aircraft you selected

  3. Click the New Maintenance Reminder button located at the top right of the screen

  4. Name. Enter a name for this reminder (i.e. Annual Inspection)

  5. Notes. Optionally enter notes about this reminder

  6. Select a Reminder Type:

Date-Based Reminder:

A good example of this type of reminder is an Annual Inspection. Annual Inspections are due every year on a recurring basis. Since we use the last date the Annual Inspection to remind you of the next one, it's a date-based reminder.

    1. Is this a one-time reminder? If this is a one-time reminder, check the box labeled Yes, this is a one-time reminder. If you check this box, the page will refresh and you can specify if this one-time reminder has been permanently complied with or not.

    2. Last Completed Date. Enter the date in which this inspection was last completed.

    3. Recurs every. Enter how often this inspection occurs in months.

    4. End of the Month checkbox. If this inspection must be completed by the end of the month, and not on a specific day, check the End of the Month checkbox. If checked, notice the Next Due Date will be updated accordingly.

    5. Which aircraft do you want to add this maintenance reminder to? If you want to add this maintenance reminder to other aircraft, select the "On all aircraft of the following type" and select an aircraft type. If you select this option, we will add this reminder to each aircraft of the type you selected.

Time-Based Reminder

A good example of this type of reminder is a 100 Hour Inspection. 100 Hour Inspections are due every 100 hours on a recurring basis. Since we use the last hobbs, tach or total time value to remind you of when the next inspection is due, it is as a time-based reminder.

    1. Base the time on drop-down menu. Select the time used to track this reminder from the drop-down located to the right of the Reminder Type drop-down.

    2. Is this a one-time reminder? If this is a one-time reminder, check the box labeled Yes, this is a one-time reminder. If you check this box, the page will refresh and you can specify if this one-time reminder has been permanently complied with or not.

    3. Last Completed Time. Enter the time this inspection was last completed.

    4. Recurs every. Enter how often this inspection occurs in hours.

    5. Which aircraft do you want to add this maintenance reminder to? If you want to add this maintenance reminder to other aircraft, select the "On all aircraft of the following type" and select an aircraft type. If you select this option, we will add this reminder to each aircraft of the type you selected.

Date and Time-Based Reminder

If you have reminders that are calculated using both a time and/or date, then you want to choose this option. Let's say you need to be reminded of a maintenance inspection that occurs every 3 months or 100 tach hours. A date or time-based reminder will notify you when either the 3 months is about to elapse or if the aircraft is about to fly over 100 hours since the last inspection.

    1. Base the time on drop-down menu. Select the time used to track this reminder from the drop-down located to the right of the Reminder Type drop-down.

    2. Is this a one-time reminder? If this is a one-time reminder, check the box labeled Yes, this is a one-time reminder. If you check this box, the page will refresh and you can specify if this one-time reminder has been permanently complied with or not.

    3. Last Completed Date. Enter the date in which this inspection was last completed.

    4. Recurs every. Enter how often this inspection occurs in months.

You can save a lot of time by adding standard reminders like Annual Inspections to multiple aircraft at the same time. However, If you add the new reminder to other aircraft, make sure you update the Last Done Date and/or Last Done Time values for each aircraft.
