How to Setup Instructor Availability (v3)

These tasks require that you have permission to Edit my own Work Schedule (personal) or permission to Edit All User's Work Schedules (administrative).
The weekly base schedule defines when an instructor is available on the schedule for every week, week after week. When shifts are added to Monday for example, the shifts will apply to every Monday indefinitely. Additional Time Off and Time On entries can be made to adjust specific dates and override the weekly base schedule.

Follow the steps below to setup a work schedule.

I want to setup my own work schedule


Under the
My Account menu click Work Schedule.
Select the day of the week that you want to add/delete shifts for. These shifts apply to all weeks. To adjust specific days/dates you must make additional Time Off or Time On Entries.
  • To add a shift: Use the drop-down boxes to specify the period of time you want to be listed as available for and press Save.
  • To delete a shift: Find the shift you want to remove and change all the drop-downs for that shift to blank and press Save. Changes you make should be accurately reflected under "Current Weekly Base Schedule" on this page.
  • Always Available: To set your work schedule as always available, create a shift from 12:00 am to 12:00 am then save and apply to all days. If you are using a 24-hour clock, create a shift from 0:00 to 0:00 then save and apply to all days.

I want to setup another user's work schedule


Under the
Company menu click Users
Find the user you want to setup and click the edit icon under the Actions: column. This will load the User's Profile
Click Work Schedule on the left which will load the users work schedule
Setup the users weekly base schedule by adding shifts.
  • To add a shift: Use the drop-down boxes to specify the period of time you want to be listed as available for and press Save.
  • To delete a shift: Find the shift you want to remove and change all the drop-downs for that shift to blank and press Save. Changes you make should be accurately reflected under "Current Weekly Base Schedule" on this page.
  • Always Available: To set a user's work schedule as always available, create a shift from 12:00 am to 12:00 am then save and apply to all days. If you are using a 24-hour clock, create a shift from 0:00 to 0:00 then save and apply to all days
