As an admin, you decide which User Documents you want to track. Documents can be stored for each user and enforced during scheduling and dispatching, using Activity Types.

Here's what you can do with User Documents:

  • Admins decide which documents are turned on for the company and can add custom documents
  • Activated documents are accessible from the User's Profile > Documents list
  • You can require valid documentation at the time of reservation or dispatch using Activity Types
  • For each document, you can say whether or not the end user is allowed to update the document or not
  • You can also be very strict now with certain documents if you'd like, by never allowing it to be overridden during scheduling or dispatch

To set up User Documents, go to:

  1. Settings (top-right)
  2. Select "Users"
  3. Select "User Documents"


We've created a predefined set of documents for you. You can edit, remove, or add documents as needed. Each document you activate will visible under "Documents" while viewing a user's profile.

To edit settings for a User Document, go to:

  1. Settings (top-right)
  2. Select "Users"
  3. Select "User Documents"
  4. Click "Edit" next to the document you want to edit

Active (Yes or No): For each document, you can select whether you want the document to be active or not. Deactivating a document removes it from the list.

User Access: Do you want the end user to be able to modify this document? This setting defines the end user's access to this document within their profile.

Can be overridden: Setting this to "No" means no one is allowed to override a failed Activity Type check for this document (including administrators). Even users who have permission to override reservation or dispatch errors will not be able to override a failed check for this document if this option is set to "No" (this is a powerful switch). If you set this to "Yes", then only users with permission to override reservation or dispatch errors will be allowed to override a failed Activity Type check for this document.

Add a document from the Library

To add a document from the library, go to:

  1. Settings (top-right)
  2. Select "Users"
  3. Select "User Documents"
  4. Click "Add from Library" at top right

Documents in the Library are organized by category. For each category you can select one or more documents to add to your User Documents list.

Select the documents you'd like to activate and click "Add".

To add a custom document, go to:

  1. Settings (top-right)
  2. Select "Users"
  3. Select "User Documents"
  4. Click "Add Custom" at top right

Define your custom document as shown below:

Click "Save" to activate your new document.

View and manage a user's documents

User's with permission to "View & Manage all Users" can view, add, and edit user documents.

To view and manage a user's documents:

  1. "People" on the left-menu
  2. Select a person and click "View"
  3. Select "Documents" from the lower menu

All active documents are displayed by default.

Use the Filter selection to narrow your search.


From the list of documents:
Click View to check status of a document.
Click Edit to modify or complete elements in the document form.

Click Add if a document is missing and complete the document form.
